These Terms and Conditions (“Terms”) govern your use of the website at addinyhost.com, the client portal at client.addinyhost.com, and all hosting, domain, email, and related services provided by AddinyHost (“we”, “us”, “our”).
By accessing our website, creating an account, or purchasing any service, you confirm that you have read, understood, and agree to be bound by these Terms in full. If you do not agree, please do not use our services.
01 Service Terms
By using AddinyHost services, you confirm that you are at least 18 years of age, or that you are the age of majority in your jurisdiction and have provided consent for any minor dependents to use the service under your supervision.
You may not use our services for any illegal or unauthorised purpose, nor may you violate any laws applicable in your jurisdiction, including but not limited to copyright laws, data protection laws, and anti-spam regulations.
- You must not transmit viruses, malware, or any code of a destructive or harmful nature through our infrastructure.
- You must not attempt to gain unauthorised access to any server, account, or system connected to AddinyHost.
- A breach or violation of any of these Terms will result in immediate suspension or termination of your services, without refund.
02 General Conditions
AddinyHost reserves the right to decline or discontinue service where a request violates these Terms, applicable law, or our Acceptable Use Policy. We do not refuse service on the basis of race, religion, gender, nationality, or other protected characteristics.
We may update, modify, or improve our services and platform from time to time. Active customers remain on their current plan and are not required to take any action unless they choose to upgrade, downgrade, or cancel their subscription. We will communicate any significant platform changes by email in advance.
In rare cases where immediate action is required to protect the security or stability of our infrastructure, we may act without prior notice — but we will always communicate the reason to affected customers as soon as possible afterwards.
- All data transmitted through our network is encrypted in transit using industry-standard SSL/TLS protocols. Unencrypted transmission only occurs where technically unavoidable on external network hops beyond our reasonable control.
- You may not reproduce, duplicate, copy, sell, resell, or exploit any portion of the AddinyHost service, platform, or infrastructure without our express written permission.
- We reserve the right to correct typographical errors, pricing inaccuracies, or omissions on our website at any time. Corrections to pricing will not affect orders already confirmed and paid.
03 Account & Billing Information
You agree to provide accurate, current, and complete information when creating your account and making purchases. You are responsible for keeping your account information up to date so that we can process transactions and contact you when necessary.
- You are responsible for maintaining the confidentiality of your account login credentials and password.
- You are responsible for all activity that occurs under your account, whether authorised by you or not.
- If you suspect unauthorised access to your account, you must notify us immediately at support@addinyhost.com.
- AddinyHost is not liable for any loss or damage arising from your failure to maintain secure account credentials.
04 Billing & Payment Terms
All fees for AddinyHost services are due on the dates specified at the time of purchase. We offer monthly and annual payment plans. Prices are subject to change — any price changes will be communicated in advance and will apply at the next billing cycle.

Reactivation: A suspended account can be reactivated at any time within the 30-day window by settling all outstanding invoices. A reinstatement fee may apply depending on how long the account was suspended.
- Subscriptions automatically renew at the end of each billing cycle unless cancelled at least 48 hours before the renewal date.
- Renewal invoices are sent in advance — it is your responsibility to cancel before renewal if you no longer wish to continue.
- All prices displayed on addinyhost.com are in the currency shown at the time of purchase.
05 Refund Policy
AddinyHost services are activated immediately upon payment. Because of this, our refund policy varies by service type — some services can be refunded within a short window if genuinely unused, while others cannot be refunded under any circumstances due to costs we incur with third-party registries and providers the moment you purchase.

Shared Hosting & Email Hosting — 7-Day Window
If you purchased a shared hosting or email hosting plan and have genuinely not used it — meaning no files have been uploaded, no emails sent, no software installed, and no content accessed — you may request a refund within 7 days of purchase.
What counts as “used”: Uploading any file, creating an email account, installing WordPress or any application, sending an email, or making any meaningful change to your hosting environment. Simply logging into cPanel or the client portal to look around does not count as use. If you are unsure, contact us before taking any action and we will advise you.
Why Domains, SSL & VPS Are Non-Refundable
These services are non-refundable because the costs are passed directly and immediately to third-party providers the moment you purchase:
- Domains — Once registered, the domain is submitted to the global registry instantly. The registry does not refund registrations or renewals under any circumstances, so neither can we.
- SSL Certificates — Once issued by the Certificate Authority, the certificate is activated and tied to your domain. Certificate Authorities do not accept returns.
- VPS — Server resources are allocated and provisioned immediately upon purchase. These costs cannot be recovered once the server is live.
Subscription Renewals
- Subscription renewals are processed automatically and are non-refundable once charged.
- To avoid being charged for a renewal you do not want, you must cancel at least 48 hours before your renewal date through the client portal.
- Renewal reminders are sent in advance — it is your responsibility to act on them if you wish to cancel.
Faulty or Unavailable Services
If a service is proven to be faulty, completely inaccessible, or materially not as described due to an error on our part, a refund or service credit may be issued at AddinyHost’s discretion. This does not apply to downtime within our stated uptime policy or issues caused by the client’s own software or configurations.
Fraud & Abuse
Refunds will not be issued where there is evidence of fraud, abuse, deliberate chargebacks, or violation of these Terms.
Refund Processing: Approved refunds are returned via the original payment method used at purchase, typically within 5–10 business days. To request a refund, contact us at

06 Backup Policy
AddinyHost performs routine backups of client databases and website files as a courtesy service. While we take this seriously, backups are not guaranteed and should not be relied upon as your sole method of data protection. We strongly recommend maintaining your own independent backups at all times.
- Client databases are backed up daily. Other website files are backed up weekly.
- Softaculous application backups are retained for 28 days and automatically deleted afterwards.
- A maximum of 10 backups per installed script are stored at any time.
- Any shared hosting account that exceeds 25GB of disk space will be excluded from our automated backup system. We will notify you by email when your account is approaching this threshold — beyond this point, you are solely responsible for maintaining your own backups.
- Backups can be accessed and restored through your cPanel dashboard at any time, or by contacting our support team for assistance.
Client Responsibility: AddinyHost provides backups as a best-effort courtesy — not as a guaranteed service. We are not liable for any data loss, corruption, or failed restoration, whether or not our backup service was active at the time. Your data is ultimately your responsibility — please back it up independently and regularly.
07 Storage & Security
You are responsible for the content you store on AddinyHost servers. At all times, you bear full responsibility for the security and integrity of your website files, databases, email accounts, and any other data stored under your account.
- You must ensure that any software, scripts, or applications you install and run on our servers are kept up to date and do not pose a security risk to our infrastructure or other customers.
- If your account is found to be compromised, distributing malware, or impacting server performance, AddinyHost reserves the right to suspend the account immediately without prior notice.
- You are responsible for maintaining your own account password security. AddinyHost staff will never ask for your password.
Our Security Measures: AddinyHost operates enterprise-grade infrastructure with SSL/TLS encryption, multi-layer firewalls, DDoS protection, regular security monitoring, and access controls. These measures protect the infrastructure — but do not replace your own responsibility to secure your applications and credentials.
08 Third-Party Software
AddinyHost provides access to third-party tools and software (such as cPanel, Softaculous, and WordPress) to help you manage your hosting account. These tools are provided for convenience and are governed by their own terms of service and licensing agreements.
- You are responsible for ensuring the compatibility, security, and proper use of any third-party software you install or operate on your hosting account.
- AddinyHost does not guarantee specific results from third-party software and cannot be held responsible for issues, data loss, or security vulnerabilities arising from its use.
- Your use of any third-party software is at your own risk. AddinyHost provides basic installation support but is not responsible for the ongoing maintenance of software installed by the client.
09 Domain Name Terms
Domain registrations are subject to the policies of the relevant domain registry and ICANN in addition to these Terms.
- Registration: Domain names are registered on your behalf. Ownership of the domain belongs to you, provided registration details are accurate and fees are paid.
- Renewals: Domains must be renewed before the expiry date. AddinyHost will send renewal reminders in advance, but it is your responsibility to ensure timely renewal. Expired domains may enter a redemption period and incur additional recovery fees.
- Transfers: Domain transfers to or from AddinyHost are subject to standard registry transfer procedures and may take up to 7 days. Domains that were recently registered or previously transferred may be locked for a period per ICANN policies.
- Non-Refundable: Domain registration and renewal fees are non-refundable under all circumstances, as these are passed directly to the registry.
- WHOIS Privacy: We provide WHOIS privacy where supported by the registry. Enabling privacy does not affect your ownership of the domain.
- Expired & Deleted Domains: If a domain expires and is not renewed within the grace period, it may be released to the public registry. AddinyHost is not liable for the loss of an expired domain name.
10 Email Hosting Terms
Email hosting accounts are subject to the following terms in addition to the general hosting terms above:
- Email accounts are provided for legitimate business or personal communication purposes only.
- You must not use AddinyHost email infrastructure to send unsolicited bulk email (spam), phishing messages, or any form of email-based abuse.
- Accounts found to be sending spam or abusive email will be suspended immediately, without notice, and without refund.
- Email storage is subject to the limits of your hosting plan. Exceeding your storage limit may result in undelivered messages. It is your responsibility to manage your email storage.
- AddinyHost is not liable for email delivery failures caused by third-party spam filters, blacklisting of IP ranges, or recipient server policies beyond our control.
Email Backups: While we perform routine server backups, we strongly recommend maintaining your own local copies of important emails. Email data lost due to accidental deletion by the account holder is not recoverable from our backups.
11 Termination & Cancellation
Cancellation by Client
You may cancel your services at any time by submitting a cancellation request through the client portal at client.addinyhost.com. Cancellations must be submitted at least 48 hours before your next renewal date to avoid being charged for the next billing cycle.
Suspension for Non-Payment
- If an invoice remains unpaid after the due date, the service will be automatically suspended.
- A suspended account remains inaccessible until all outstanding invoices are settled.
- Suspended accounts and their data are retained for 30 days from the suspension date.
- If no payment or communication is received within 30 days, the account will be permanently deleted — including all website files, emails, databases, and backups. This data cannot be recovered.
Termination for Abuse or Policy Violation
- Accounts involved in spam, fraud, illegal activity, security threats, or violations of our Acceptable Use Policy may be suspended or terminated immediately and without notice.
- No refund will be issued for accounts terminated due to policy violations.
Termination by AddinyHost
Where termination is unrelated to any fault or violation by the client — such as a service being discontinued or a plan being retired — we will provide at least 30 days written notice by email before the termination takes effect. This gives you sufficient time to back up your data and migrate to an alternative provider without disruption.
In such cases, a pro-rata refund of any unused prepaid fees will be issued. You will not be penalised for a decision made on our end.
Data Warning: Once an account is permanently deleted, all associated data is unrecoverable. Always maintain independent backups of your website, email, and databases.
12 Acceptable Use Policy
AddinyHost services may only be used for lawful purposes and in compliance with all applicable local, national, and international laws. The following activities are strictly prohibited and will result in immediate termination without refund:
- Hosting, distributing, or transmitting illegal content of any kind
- Sending unsolicited bulk email (spam) or operating spam-related services
- Hosting phishing pages, malware, or fraudulent content
- Attempting to gain unauthorised access to any server, system, or account
- Using our infrastructure to conduct DDoS attacks or other malicious network activity
- Hosting or distributing copyright-infringing material without authorisation
- Running cryptocurrency mining operations on shared hosting infrastructure
- Operating services that consume excessive server resources and impact other customers
AddinyHost cooperates fully with law enforcement authorities and will disclose account information where legally required to do so.
13 Uptime & Service Availability
AddinyHost targets a 99.9% uptime for all hosted services. We invest in enterprise-grade infrastructure, redundant systems, and continuous monitoring to achieve this target consistently.
Note: The 99.9% uptime target is a performance goal, not a guaranteed contractual service level. Scheduled maintenance windows, third-party infrastructure issues such as data centre or network provider outages, or circumstances beyond our reasonable control may result in temporary downtime — for which AddinyHost shall not be held financially liable.
- Scheduled maintenance will be communicated in advance wherever possible, typically via email to your registered address.
- Emergency maintenance required to protect the security or stability of our infrastructure may be carried out immediately without prior notice. We will communicate the nature and duration of such maintenance to affected customers as soon as possible during or after the event.
- Downtime caused by the client’s own software, scripts, misconfiguration, or third-party plugins does not count toward any uptime calculation.
14 Limitation of Liability
AddinyHost provides all services on an “as is” and “as available” basis without warranties of any kind, either express or implied. We do not warrant that our services will be uninterrupted, error-free, or completely secure.
To the fullest extent permitted by applicable law, AddinyHost shall not be liable for:
- Any loss of data, revenue, profits, or business opportunities arising from use of our services.
- Damages resulting from third-party software, scripts, or integrations installed or configured by the client.
- Service interruptions caused by circumstances beyond our reasonable control, including but not limited to natural disasters, power failures, DDoS attacks, government actions, data centre outages, or network provider failures — collectively referred to as force majeure events.
- Security breaches resulting from the client’s failure to maintain secure credentials, restrict account access, or update software after handover.
- Any indirect, incidental, special, or consequential damages of any kind.
In any case, AddinyHost’s total liability to you shall not exceed the total fees paid by you for the specific service in the 3 months preceding the claim.
What this means in plain terms: If something goes wrong on our end, our responsibility is limited to what you actually paid us — not what you feel you lost as a result. We take our service seriously, but we cannot be held liable for losses beyond our reasonable control.
15 Indemnification
You agree to indemnify, defend, and hold harmless AddinyHost, its directors, employees, and service providers from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or related to:
- Your use of AddinyHost services in violation of these Terms.
- Any content you store, transmit, or publish through our infrastructure.
- Your violation of any applicable law or the rights of any third party.
- Any security vulnerabilities introduced by software or scripts you installed on your hosting account.
16 Affiliate Programme
AddinyHost operates an affiliate referral programme. By participating, you agree to the following terms:
- Commissions are awarded on a one-time basis per new customer referral only. Recurring payments and renewals do not qualify for commission.
- You may not refer your own accounts or accounts you control to earn commission.
- Commissions on sales made using special discount codes or promotional coupons are calculated on the discounted amount paid, not the original price.
- AddinyHost reserves the right to withhold or reverse commissions where fraud, abuse, or chargebacks are detected.
- Commission rates, payout thresholds, and payment methods are as specified in your affiliate dashboard and are subject to change with at least 14 days notice to active affiliates.
17 Modifications to These Terms
AddinyHost reserves the right to update or modify these Terms of Service at any time. When changes are made, the “Last Updated” date at the top of this page will be revised.
It is your responsibility to review this page periodically. For minor changes such as clarifications or corrections, updates take effect immediately upon posting. For material changes that significantly affect your rights or obligations, we will notify you by email at least 30 days before the changes take effect — giving you time to review, raise concerns, or cancel your service if you do not agree.
Your continued use of our services after the effective date of any changes constitutes your acceptance of the updated Terms. If you do not agree with a material change, you may cancel your account before the effective date and receive a pro-rata refund of any unused prepaid fees.

Support is provided for service-related issues. Requests for custom development work, advanced configuration outside of standard hosting, or non-service-related tasks may be referred to Addiny (our parent agency) and may be subject to separate fees.
19 Governing Law
These Terms of Service are governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising from these Terms or your use of AddinyHost services shall first be resolved through good-faith negotiation between both parties.
If a resolution cannot be reached, disputes shall be subject to the exclusive jurisdiction of the courts of Ghana. Where clients are based outside Ghana, these Terms still apply as the governing framework and legal proceedings shall take place in Ghana.
